Document Scanning - What Documents Do We Scan ?

Job Files

We scan a lot of what we call job files which are typically multi pages files that you might want scanned into a searchable PDF. These "job files" could be client files, project files, claim files, or anything where is suits scanning the document front to back or Chronologically. Giving the file an intelligent files name is all you need to identify it on your network and searchable text allows you to search through the the content. We will price a scanning job for this stype of work based on the amount of files you have. Thsi could be a few lever Arch files or thousands of boxes.

Invoices

We can scan your invoices for you and create an index file so they can be imported into a document management system like FileDirector or Invue. Typilcally there are around 5 pieces of information on the invoice that you may want ot search on and this information is extracted from each invoice.

Delivery Notes

We can scan your delivery / dispatch notes and will be able to host them online for you so you can easily view them in a web browser. Adding a barcode to the document note will make the scannign fully automated and hence cheaper to process.

Drawings & Plans

We have a 42" scanner so can scan large format plans or drawings and have these converted to PDF. A0 down to A3 is fine and we will provide you with a price per plan or for the job. The more you send us the cheaper it becomes.

Document Scanning - How Do We Charge ?

We can charge for a scanning job in several ways. We need to understand the volume (how much / many pages need scanning) and we need to understand how much work is required before your documents can be fed into the scanners. We also need to know how you want your documents indexed (named or searched)> once we have all of this, perhaps done a free trial for you, we can price your job by the page, archive box or an entire project. Typically the more we scan the cheaper it will be for you.

Document Scanning - Quality Control

Our efforts go into prevention. Our preparation team meticulously prepare your documents for scanning and once we start scanning we ususally scan everything double sided but take out the blank pages. We also use top qualty scanners with ultrasonic double page protection. This means no more than one page at a time can pass through the scanners. We also keep two copies of your files in two locations so avoid the risk of accidentally deleting a scanned file.

Document Scanning - Keeping you Posted

On smaller scanning jobs everything can be returned to you at the end with your documents on a disc. However with larger projects we can make your documents available for you on our FTP site so you can securely see how we are doing or open any documents we have scanned. At the end of the project these files will be sent to you on a USB drive. We can also FTP the files back to you on a nightly basis where required.

Document Scanning - Destruction of Originals

It may be that you want your files returned or you may want them shredded. We have a shredding partner who securely shreds our documents for us and provides us with certification of destruction.

National Coverage

We are not a regional business so will happily take on scanning work in any location. If your project is larger we work with removal companies and keep our logistics costs to a minimum making sure we plan our journeys well. If you need a regular collection of files we can use our shipping partners including TNT and Business Post. We also deliver to the M25 area at least once a week so welcome all enquires.
